Bookkeeper / Accounts Payable Position

Job Type: Full Time

We are currently seeking an accountant / bookkeeper to work in our client accounting services department.  This is a 40-45 hours per week position and provides general clerk equivalent tasks for companies on a monthly basis.

Responsibilities

  • Record bank and credit card transactions
  • Reconcile the bank and credit card accounts
  • Accounts payable management
  • Assist clients with various financial questions
  • Assist other staff with various accounting tasks

Qualifications

  • Experience with QuickBooks
  • High level of comfort using technology and multiple applications concurrently

Job Summary and Responsibilities

This position is primarily responsible for participating as a senior management team member relating to business transactions including, but not limited to, management of accounts receivable, accounts payable, procurement, payroll and other accounting functions. The individual in this position must be flexible and function well in a fast-paced, entrepreneurial environment. Candidate will effectively coordinate and communicate with customers, vendors, and employees as business processes require. This position is critical to the oversight of the monthly financial close process and must adhere to the time-sensitive calendar-month schedule to be successful. Administrative duties will include assisting and supporting other team members, including accounts receivable, accounts payable, HR, payroll, customer service, proposals to prospective clients, logistics, QA, and senior and upper management as business needs require.

Responsibilities

  • Protects the organization’s value by being confidential and thorough in all processes
  • Controls systems related to accounts receivable, accounts payable, payroll, HR, and general accounting functions
  • Support management in areas that develop and maintain customer agreements and existing trade promotions / allowances
  • Supports systems related to procurement in all accounting related matters
  • Prepare and reconcile documentation for monthly and annual close
  • Cashflow of client operations
  • Mitigate discrepancies related to customer statements and vendor statements
  • Participate with the senior management team on all business issues

Qualifications

  • Bachelor’s degree in Accounting or Finance
  • 5+ years of work experience in a fast-paced highly automated accounting environment in all of the following areas: accounts receivable, accounts payable, inventory accounting, and general accounting.
  • Proficient use of Microsoft Office suite (Outlook, Excel, Word) and Quick Books
  • Ability to work both independently and as part of a diverse team to coordinate actions with stakeholders and accomplish necessary objectives

We are currently seeking a receptionist to manage our front desk on a daily basis and to perform a variety of administrative tasks.

Responsibilities

  • Ensure reception area is tidy and presentable
  • Answer, screen, and forward incoming calls
  • Greet and welcome arriving guests
  • Welcome expected clients and direct them to correct destination
  • Address walk-in client needs
  • Provide accurate information in person and via phone / email to include printing, emailing, mailing ad-hoc client requests
  • Calendar scheduling in Outlook
  • Data entry and document management
  • Receive, sort, and distribute incoming and outgoing mail and deliveries
  • Scan and maintain electronic files
  • Perform other administrative duties such as filing / e-faxing
  • Order front office and kitchen supplies; maintain inventory
  • Responsible for completing miscellaneous office opening and closing tasks (ex. coffee, unlocking doors, computers locked, etc.)
